Business of Being a Student Module
Purpose:
To help students and their families identify, understand, and effectively complete all OWU clearance requirements so they can arrive on campus ready and able to focus on the work of the semester on day one.
Progress Highlights:
- Mapped the new student, first semester clearance experience and generated a more robust clearance checklist for this group of students.
- Created a clearance checklist for returning OWU students, which until this summer, did not exist.
- Vetted the checklists with relevant stakeholder offices and presented modified drafts of these master checklists for campus feedback at the Fall 2022 welcome back gathering.
- Acknowledged that certain situations and subgroups of students exist which impact the timing and requirements of clearance (i.e. international students). As a result, created a running list of identified groups and situations for which modified checklist items and components will be required.
- Identified management of holds as potentially problematic to several clearance areas and undertook immediate work to clean up the current holds list in PowerCampus.
- Participated in multiple conversations to identify and understand the system of record for each clearance item.
- Imagined and investigated the possibility of creating a more dynamic checklist/dashboard system. Currently, we believe this tool is essential for communicating clearance progress with students, parents, and campus services and to provide additional opportunities to identify and provide additional support around clearance.
- Implemented minor changes to the new student checklist to support move-in for Fall 2022
- Participated in Fall 2022 move-in activities and made a number of observations to help validate and guide our work going forward.
- Discovered there is a lot of excellent individual work being done to support students in the area of clearance. However there are opportunities to improve the interdepartmental systems, communication, and reporting around clearance.
Planned Fall Projects
- Creation and completion of a holistic clearance process map (Miro).
- Collaborate with Information Services to start building a prototype of the clearance dashboards. (To replace the new student checklist and create a returning student checklist.)
- Review the various holds which directly impact clearance. Explore opportunities for improvements to the timeline, processes, systems, and communication to support student success.
- Create a master timeline for all clearance item steps, which will feed into the miro map.
- Continue supporting work:
- Collecting data from move in day as a starting point for assessment
- Continue conversations with the Health Center to learn more about required information, forms, etc.
- Continued conversations about International Student clearance
Requirements for Clearance
- Admission deposit
- Activate campus email
- Submit photo for Student ID
- Submit final HS/provisional transcript
- Submit medical form and vaccination records
- Complete housing application or authorization to commute
- Register for classes
- Pay bill or enroll in a payment plan
- Resolve all holds (academic, financial, other)
- Complete requirements for travel (International Students)
